The challenge

PhD administration ran on spreadsheets and email threads: student status, supervisor assignments, milestones and defense scheduling all lived in different places. Annual re-registration was a manual campaign every year, and pulling reports for the graduate school meant re-collating everything by hand.

Approach

  • A Spring Boot + PostgreSQL portal covering the full doctoral lifecycle — profiles, supervisors, milestones, defenses and document management.
  • Automated re-registration: eligible students are rolled forward each cycle with the right checks, instead of a manual list.
  • Report generation for administrators and advisors, on demand.
  • Packaged with Docker and a CI/CD pipeline for repeatable deploys.

Result

Administrators and advisors work from a single source of truth, email overhead dropped, and the yearly re-registration and reporting work is now a click rather than a project.
